At the Consulate General and Innovation Centre of Denmark in Silicon Valley, we are looking for a new Head of Administration and Finance to lead a dedicated team covering all HR, facility management, security, IT, and financial activities at the representation.
Altogether, the representation comprises a dynamic and results-oriented team of 30 members of staff covering a wide range of foreign policy, innovation, and trade-related areas. We take pride in our work and in the strong relations we help build between Denmark, California, and the United States.
About your role
In close cooperation with the management team, you will be responsible for the smooth running of the consulate's back-office operations. This spans financial management and accounting, human resources, IT administration, facility management, and maintenance.
You will both lead the administration team and actively take part in the day-to-day operational work. The role requires a strong generalist with the ability to handle a broad and varied portfolio independently and efficiently.
Main tasks and responsibilities
Specific tasks include, but are not limited to:
- Managing the Administration team and ensuring the quality and timeliness of deliverables
- Overall responsibility for finance and accounting, including budgeting, cost control, and financial reporting
- Liaising closely with relevant colleagues at the Ministry of Foreign Affairs in Copenhagen as well as other colleagues across North America
- Financial administration including monitoring budgets, performing regular cost analysis, and negotiating contracts and agreements with vendors
- Non-technical IT administration, including user account management, liaising with IT providers, and coordinating with the IT department at the Ministry of Foreign Affairs
- Housing and facility management, including service agreements, communication with service suppliers, and oversight of maintenance projects
- HR administration including drafting employment contracts, managing salaries, updating employment and personal information, overseeing onboarding of new staff and interns, and ensuring compliance with US Staff Rules
- Maintaining the security protocol in close cooperation with the Deputy Head of Mission and strengthening security awareness at the representation
- Ensuring the representation is in compliance with all applicable rules, regulations, and laws
Required qualifications
- Minimum bachelor’s degree; a postgraduate degree in administration, public management, or finance is highly desirable
- Solid knowledge of accounting rules and finance in general
- Experience with Microsoft Office and Microsoft Dynamics NAV
- A high sense of responsibility, proactivity and service-mindedness
- Strong administrative and communication skills
- A structured mindset and excellent planning and coordination skills
- Ability to work under pressure
- Excellent command of English – both oral and written
- Strong interpersonal skills and team-player abilities, while also having the ability to work independently and efficiently
Desired qualifications
- Command of one of the Scandinavian languages is not a requirement, but will be considered an advantage
Employment conditions
- You will be offered full-time employment for 2 years as mission-employed staff with the possibility of extension
- Your standard working hours will be 37 hours per week. Overtime work is to be expected during peak periods and will be compensated
- You will be entitled to 5 weeks (25 working days) of paid vacation per year
- As part of your salary, you will be covered by a workplace pension scheme
- You will be offered health coverage, which includes your spouse/partner and children under the age of 26, if applicable
- You will be working from our office in Silicon Valley located at 299 California Avenue, STE 200, Palo Alto, CA 94306
- Your starting date is ideally as soon as possible
