Head of administration

We are looking for a talented, enthusiastic and ambitious maternity replacement to lead a well- functioning and fast-paced administration team at the Danish Consulate General in Silicon Valley, the Danish Innovation Centre and the Office of Denmark’s Tech Ambassador. All three units are gathered under one roof in Palo Alto, California.

As Head of Administration, you will work across the three units and be responsible for a wide range of tasks that hold a certain degree of complexity. Budgeting and accounting will be your primary focus, and we expect you to be able to secure professional financial management of the units’ separate budgets while supervising accounting task and carry out quarterly and end-of-year reporting with due diligence. Maintaining and providing an accurate overview is a cornerstone in your ongoing management reporting.

In addition to the overall financial responsibility, you will have a number of HR tasks related to both locally employed staff members and staff posted from the Ministry of Foreign Affairs (MFA) in Denmark and/or other Danish authorities. You will be expected to be able to guide management and advise your colleagues in terms and conditions regarding the content of contracts, staff rules and salary policy.

The administration team is linked to all three units and supports many diverse, exciting and challenging activities.
As Head of Administration, you will be a part of the consulate’s management team and refer to both the Consul General and the Acting Tech Ambassador. Your daily work will be carried out in close collaboration with your team colleagues, the management team, and the Danish MFA’s HR and finance teams in Copenhagen.

The ideal candidate:

  • Has an educational background in administration and/or finance and accounting and has considerable flair for numbers.
  • Has experience from a similar position.
  • Has well-developed collaboration skills.
  • Is a good communicator, especially when explaining numbers and budgetary trajectory.
  • Has strict prioritization capabilities related to both time and tasks.
  • Is structured, responsible and robust.
  • May speak or understand Danish, however, this is not a requirement.

Terms and conditions:

Your contract will be between you and Consulate General of Denmark in Silicon Valley, 299 California Av., Suite 200, Palo Alto, CA 94306 and is regulated according to the “Staff Rules” of the Danish representations in North America.

Starting date is May 1st, 2020, or soon after.

You will be offered a full-time employment (37 hours per week) for 6 months with possible extension.

Your salary will reflect your qualifications, relevant work experience and proven work-related results.

Other benefits: paid vacation, healthcare (80% employer contribution) and pension scheme.
